Remove Document Metadata on Windows

Clean supported document properties while checking the text, layout and fields that must remain usable.

Short answer

Use Clean Metadata from File Explorer to create a separate copy of a supported document. Read File details and review the output in its normal reader. Names inside the document, comments and other authored content need a separate privacy review; this is not redaction.

Before you start

  • Clean Metadata on Windows 11 24H2 or later, x64, with an active license.
  • A backed-up sample on a local NTFS drive.
  • A supported document family: PDF, DOCX, PPTX/PPSX, XLSX or ODT/ODS/ODP. Not every feature within those formats is supported.

Start here

  1. Save and close the document

    Finish any edits and close the file in its authoring app. Start with one non-sensitive sample, not your only copy.

  2. Run the Explorer action

    Select the file, right-click, choose Clean Metadata, then Create clean copy. Wait for the result before changing or moving the source.

  3. Read the detailed result

    Open File details. Check the removed-field count and retained-field explanations. A document property or variable used by a document field can be retained so the field continues to work.

  4. Check the document in its reader

    Open the reported output in the app you normally use. Check pages or slides, text, images, spreadsheet results and any fields you rely on. A clean-copy suffix is not a guarantee that no personal information remains.

  5. Review content before sharing

    Inspect visible names, comments, quoted text and embedded material separately. Share the inspected output only when both its content and reported retained information fit your needs.

Check your result

  • The output opens with the expected content and layout.
  • Every retained-field explanation was reviewed.
  • No visible or authored sensitive content was mistaken for metadata that the app would necessarily remove.

Why a property can remain

Some document fields look up a property or variable by name. Removing that value can change what the document displays, so the app can preserve it and report the reason.

Some embedded images or drawings can be kept unchanged when their internal metadata cannot be checked safely. Read the per-file notes; do not assume embedded material was fully scrubbed.

If the document is skipped

Read the specific explanation. Some document structures, printer settings, embedded objects or encodings cannot be processed safely. Export a new copy in the original application only when that is an appropriate recovery step, then review it before retrying.
